Creating a Personal Folder (.pst) in Outlook 2013

This video tutorial explains to SBISD users how to create a personal folder (also known as a .pst folder) and save it to the SAN folder so you can cut down on the space your email consumes on the Outlook server.

oh hi everyone this video tutorial shows
you how to set up . PST folders or
personal folders on your new outlook
so if you haven't been using personal
folders you've probably gotten emails in
the past that tell you that your inbox
is too full and need to delete emails
that's because you only have a certain
amount of space allotted to you on the
outlook server which is different from
the server that actually houses some of
your files and folders that some of you
use and are familiar with or the sand
folder
these two things are in completely
different places and you actually a lot
more space available to you on the SANDF
older than you do on your outlook server
so some of you may have actually created
folders here underneath your email
address when you expand out your email
address by clicking on this triangle
you may have lots of folders here that
you've created in the past and stored on
the outlook server
well the problem is that this still
counts towards your maximum space on the
outlook server so i'm going to show you
how to create a personal folder it's
really easy and outlook 2013
all you need to do is make sure you're
on in your email on the mail tab and
then under the Home tab there's a button
here called new items if you select new
items and scroll down you'll see this
option for more items and then down here
you'll see outlook data file when you
click that the window will pop up and
you can choose where to save this
we of course recommend that you save it
on your scene folder because you have
plenty of space available there
so you're going to click your sand
folder if you don't see your scene
folder on the left there make sure that
this option here this pc is expanded out
by clicking the little triangle next to
it and then your sand folder should be
there now you may want to create a
folder within your sand folder that
houses your outlook files
you can see I've done that here i have
just named it out look so that's where I
save all my PST folders you see you have
quite a few then you can name it
I know a lot of people actually named
them by year and then you will be able
to create smaller folders within this
folder and i'll show you how to do that
in one second
so i'm going to name this 2013-2014 but
you can see you could name it anything
you want
you have the option of adding a password
if you click this box and you can enter
the password that it will prompt you
each time to enter that password
whenever you access the folder when you
click OK
you'll see it appear here
there's nothing in it but you can click
and drag any emails from your inbox or
any folder so if you have those folders
up here you can click and drag those
down to this and then they will appear
expand it out so you could see that I've
done that with this this is actually my
personal folders that i had already and
you can see that I've added folders
within here i have a media fest folder
collegiate challenge conference kaalix
that are etc to add a folder within the
PST
all you have to do is right click and
select new folder when you do that then
you get a new folder you can name it
anything you want so if you wanted to
name it now
parent contacts or student contacts or
anything else and maybe team members
team and contacts anything like that can
name it and then it will appear here in
your list
so one note of caution when you go home
because this is saved on your sand
folder which is saved on our server
you won't have access to it unless you
VPN in to connect to the servers and of
course remember that's the new VPN
client the sonicwall VPN you'll have to
initiate that before you'll have access
to any of the emails that are now in
this personal folder that's saved on the
sand
