like to take a few minutes to give you a
quick tour the archive manager consul
show you the key area to the Consul what
they're used for help you to get
oriented to this new UI
the how and the why if using the console

in the area that controls the entire
process using this check box you can
turn the entire archiving process
often on by default the check box is
selected
to rate over the box the archiving
process is ready to go
if for any reason you need to turn it
off just clear the checkbox
this field controls how frequently the
archiving process runs
the default values every 24 hours
if your organization needs archiving to
run more or less often
benefit for income to change it for
example
if it makes more sense for your
organization to archive records every 48
hours
this is very make that change
next let's look at this middle section
we manage the individual arcade in
policies
there are a number of criteria that the
archiving process looks at
when evaluating correct qualify for
archiving what role the strike in the
documentation
the only criterion that you can change
if the aging days value the aging date
refers to how much time has passed
chance to record Schmidt date or
indication PNT knowledge management
forms when the record was last modified
as you can see the default age in dade
value from most policies is
548 dade except for knowledge management
policies

submitted 548 days ago

days value highlight the policy that you
want to update
take the new value in the aging date

in the custom specified column
you can also disable a policy so the
record for that type
are no longer included in the archiving
process for example
if you want to disable the incident
management policy ensure the policy is
highlighted
then click Disable notice now that
instead the
custom agent days numbered wasn't
accustomed specified column
there's a number with a negative value
anytime
a negative number appears in this column
it means the associated policy
is disabled re enable the policy
just click enable policy notice now
the negative numbers gone if you want to
restore the previous custom
aging days how are you then you need to
change the default
agent it again like we showed you
earlier
if you need to run quality RK policies
outside at the regularly scheduled
archiving run you can do that from here
to again
highlight the policy that you watch run
click
runs like a policy now
this bottom area three-run export run in
export
it's one way to maintain database
performance by removing records from the
archive forms
the past the retention day there are a
couple different export operations you
can choose from
depending on your needs you can
exporting to lead were traced to
qualified archive records to a series of
CSV files
and in Duluth records from your forms
you can
export but richard is here is a CSV file
above but leaves the records in the
archive formed
or you can delete which deletes to
qualified records from the archaic forms
with out writing to a CSV file again
an aging David value determines when an
archive record qualifies for the export
process
but in this case the aging days value
refers to how long ago the record was
archived the value that you take care
corresponds with your organization's
retention policy
for example if you're allowed to remove
archived records from the archive forms
after they've been archived for at least
six months
take 180 here that is 180 days
or six much and click export export runs
against
all the archiving policies to you don't
need to highlight
any the policies in the table one thing
to be aware
unlike the archiving process the export
is not automated
you need to run this process manually
