How to Use the PDF Manager

and how users download email PDF's
within a sugar module a common concern
organizations have today
is that they don't have standardization
a customer documents
some sales folks use the central I

their hard drive
and some create their own customer
documents were shakers
PDF Manager provides the ability to
standardize customer documents
and maintain the company's branding
inserted manually transfer information
from sugar to another application
the new PDF manager gives you the
ability to create printable
business documents directly from any
sugar module
which makes it easier for
customer-facing users to do their job
you not only can modify the provided
quote invoice template you can create
new templates to
like billion letters applications an
agreement and administrators can utilize
the flexible
HTML editor to customize the template
to follow your company standards
allowing users to generate
download email a document from with 10
sugar
now let me show you how easy it is to
modify and create
and new PDF template
to access the PDF manager you need to be
signed on as a sugar system
administrator
so that you can view the administration
page select the PDF manager
under the Settings panel as you can see
there are two templates
outta the box with sugar the invoice and
the quote templates
to modify existing template select the
template
in the ListView and then click the edit
button too but the template in the edit
mode
in this case we're gonna make some
changes to the quote title
first will merge the two fields
well-capitalized
the word quote
annual increase the font size well also
remove the list price: column from the
quote
by highlighting the column and selecting
the icon
to remove the column
once all the changes are finished then
we can click safe
now that the template is updated
I can access the quotes module verified
my changes have been made to download
the PDF select
download pdf in the drop down menu and
then select quote
once you open the downloaded PDF
notice that the title has changed
analyst price
is no longer listed
now let's show you how to create a new
template treated new PDF template
access the PDF manager from the
administration page again
but this time select Create PDF template
for the PDF manager tab dropdown we're
going to create
a credit approval letter for the
accounting department based
on the Accounts module so we're gonna
enter the name and description and meet
the module set as accounts
County want a letter to be printed on
letterhead paper
we don't have to worry about entering
the company information at the top
at the bottom of the page but we do want
the customer name
address to appear at the top in the
letter so we select each
field and place the cursor where we want
it to display in the letter
find the field in the drop-down and
select insert
that we just need to type the body at
the
her if we need insert any other fields
from the Accounts module
we can do that the same way we did with
the address above
once you're satisfied with the template
click safe
next let's go and test our letter in the
accounts much of by downloading
and emailing the PDF all templates
accessible to the specific records
record view
Action menu so access an account record
and underneath the edit button
dropdown select download pdf and then
we'll see our credit approval letter
once we select the credit approval
letter our browsers can open the PDF
you will need to have Acrobat Reader
install to see this pedia
if you wanna email the PDF to say the
customer
from inside sugar select email PDF
option and then select the credit
approval letter
this opened the email composer window
and when you view the attachments
you can see the letter is already
attached to this email
and ready to be sent to the primary
email address on this account
