Outlook: Import a schedule from Excel into Outlook Calendar

Outlook: Import a schedule from Excel into Outlook Calendar

How to import a schedule of appointments from Excel. A few steps but not too hard
Closed Caption:

i'm going to show you how you can import
a shit appointments from Excel into
outlook
I'm depending on what your dad looks
like you might have to do a couple of
things so if you thought it looks like
this one on the left here click over
here now to jump ahead to that part of
the video if you are
your dad looks like is here with some
white spaces in it
I'll show you how to get rid of him
first to stick with me
ok so the Stars got gaps in it which we
need to get rid of one of the ways to do
this is to set up a filter so highlight
your data and click on filter will say
some little drop all arrows are up here
for dropdowns if I want to get rid of
these blank appointment times
it's got the date there but no x or
maybe you have x there but you don't
have locations you can just click on one
of the donor is here and click on likes
to run selector
I go ok actually shortens the whole list
and get rid of all those bikes they're
like he is fine because it's for a
category which i am not going to worry
about too much for that one because it's
a different kind of meeting you can see
my example i'm doing this
it's like a school timetable just a very
short one obviously just give you an
idea of how about what what sort of
context is could be doing so now that
I've got my daughter here
I
i'm going to copy it
so you can right click and copy or
copies have been only day and then I'm
going to get a new spreadsheet
completely one and paste it in and now
it's not going up the future of all
those black ones have been left out and
we're ready to go
I just realized that is my real number
for that just give that a real number
pretended in every ok so let's have a
closer look at how bad these columns
named here that could be named
differently
I'm if you have exactly the right now it
just makes it a little bit easier
sorry I'm maybe we should have a look at
what have a regular appointment looks
like when you're out look familiar with
Apple looking presentable you are you
know that for a particular subject
location start time in time and then you
got the body of what's happening
I'm so we've got subject location
start time in time and I've got home he
called star tight because obviously I
want these to go into the right day
I've got mine in categories so our put
them here if you don't have categories
that's fine you don't need this column
so the next step in for me is I'm going
to get back here into Excel you have to
highlight this area and then i have to
click on the formulas tab and I have to
click on define name and it doesn't
really matter what it is
it's just something you have to do
before you can import this into outlook
so I just do that and click on OK and I
guess what it does is it tells on the
program reporting at this is the part of
this shape we're looking at
ok so now i'm going to save this so i go
to file save as
and we give it a name just call it
something that I'm going to remember the
second on my desktop and I don't leave
it as a default workbook
I need to save it as a CSV comma
delimited click on that
save this warning message comes up click
like a and yes and i'm done with that I
can shut it down now in fact I need to
shut down the next step
I've already sad to say don't worry
about it you can just click on that site
next I need to open up outlook and get
into my calendar
now this is the first time you doing
this and you've already got lots of
stuff in your calendar and you don't
want to mess it up by putting other
stuff in
you can do a test drive by making a new
calendar
just right click on calendar at tiny
calendar and call it test
ok and then select the tips calendar and
select calendar calendar and there we
have a nice by calendar that i can use a
bit of a sandbox to test this out
ok so now we're ready to import go to
file open
import now the default here is to import
from another program or file that's what
we doing so that's great
click Next now this is where we get to
choose what we're doing here we have
just made a CSV file , separated values
windows so click there
go next you need to find my file so i
got my desktop and i called it
calendar it's for do not count for their
it is open
next up grading tests next following
actions will be performed
now if you've known your columns or
something different you gotta go to map
the custom fields and you can see these
are the fields that it is mapped into in
my appointment
these are the fields i had as in at the
top rows in my excel document so these
need to match up and you can see it's
matched it up automatically
if i had a different night if i had a
different name for each of these things
so i just had start/finish or something
like that
I could just drag across but since i was
going to the trouble of getting name
correctly
it has matched them correctly think was
the one up
I call it category but it's categories
so just drag it across
ok and finish and it takes them a moment
to do that now
hopefully this is worked so let's just
say what it takes to have in here
uh-huh look at this it has put in my
appointments of those dates there
I think I just hit the wake ok had some
of them on sunday so if you had a school
timetable would have populated your
timetable for you
so there you go that's how you import
from Excel into outlook
