webinar today enriching your audio
content with transcription using in vivo
10 for windows our featured presenter
for this webinar is Jody sperber judy is
a consultant with Jon Snow incorporated
and is an experienced public health
professional currently conducting
dissertation related research at a
health community founded on Twitter
welcome Judy thank you
so just to give you a sense of what
we're going to be talking about today
we're gonna I'm just gonna give you a
very quick background about the work
that i'm doing and how it applies with
the in the context of transcription some
considerations two things to think about
if you are someone who is doing some
research or doing some work that might
involve transcription and then actually
just hop over into in vivo on my
computer and show you specifically to
have some of the mechanics of how it's
done
so you know I I can't see you normally
when I present to people i can get all
that really good body language feedback
in this format i I can't see you so I
really do invite you to raise your hand
and ask questions flag Kevin at any
point if you have something that you
want responded to right then I'm more
than happy to stop what I'm doing and
try to address it as best i can and
obviously after i go through some
information on this end if if you want
to sit and we can do that as well so
here we go
so a little bit in terms of my own setup
even though i'm i'm talking about in
vivo 10 for windows actually and you
currently looking at my macbook air I I
work on a mac and i work in parallels I
chose to use in vivo for windows because
at the time that I was starting my
research the mac version was just being
released it actually wasn't quite
released yet and it was released but
it's not as feature rich as the windows
package so given what i thought i would
be needing i actually just went with
with windows and haven't actually opened
up the mac yet if others out there had
experience with the mac version wanted
to contribute their experience and
within the context of this conversation
certainly would be happy to hear about
that as well my current research is on a
twitter-based community specifically it
is a breast cancer community that was
born and lives only on Twitter they do
have a facebook page and website but it
really is not active compared to their
weekly chats that happened on every
Monday it was founded by two patients
which makes it of interest to me as
someone who's interested in peer-to-peer
health they also have a position on
board now as well to very very active
community gets around 1400 puts to
flying back and forth each week so i'm
looking at you know how this type of
community is sort of on the the bleeding
edge of of how healthcare sort of
negotiating delivered in today's world
my data sources for research are I've
been archived scraping and archiving
twitter for the past three or four
months and i also do in the individual
interviews with individuals who are
using the community who are part of that
community so given that i'm doing a
number of interviews to touch interviews
it was really important for me to
capture what people are saying it being
able to use that in the research context
so transcription was something that was
something I really need to consider and
in terms of why you might consider
transcription there's a few reasons in
terms of when you are actually
conducting interviews it does free you
up to listen so that all you really need
to focus on is taking notes and and pay
attention to the the person or persons
to whom you're speaking just like in
this format where I can't see you
you know it is if we were having a
conversation on the phone and all of my
interviews were done by telephone
it was really important for me to really
pay attention and listen
it also minimizes some of the
multitasking i'm sure some of your
multitasking
there i do it myself but when you're in
that you and in a situation where you
really need to be listening to someone
to catch some of the nuance and to be
able to respond to it in a real-time
basis you know knowing that afterwards
you're going to be transcribing and
getting the full script of what was said
is really useful in terms of helping you
be efficient
once the once the interview is complete
you're reading is is definitely a faster
exercise than listening
you can of course go back at any time to
listen to the recordings that you may
have native of your conversation but
reading through it you can skim you can
look for keywords for it much easier and
it doesn't have to be you know if it's a
90-minute interview it doesn't have to
be 19 and exercise for each individual
interview it can just be you know maybe
15-20 minutes per and you're already
through so it is much faster and you
know as a qualitative researcher i'm
also very keen on that just the act of
reflectivity and and that when you are
interviewing someone you are also it's
it's also your your own the way that you
respond to them the questions that you
asked if you interrupt you know the way
that you posed a question and how that
steers the answer and are you consistent
over the course of interviews do you
need to make changes so through reading
it a transcript it's something that
you're not only looking at what the
other participants talk about but you're
also given yourself an opportunity to
reflect on your own actions and how that
either has worked really well I you
might need to make changes along the way
so that's the sum of the ways that i use
transcription there are different types
of transcription there are three main
types is is an important distinction
between 2-3 the first full transcription
sears they are getting all power
language everything that is in all the
new ones that we here in language so for
example if i was to say you know I am i
attended women are and I i learned about
well transcription i guess and it was ok
so within that sentence you know within
that statement there's some all my own
speech tix which i know i have such
stutters pauses things like that so that
is full transcription and that may be
really important depending on the your
subject matter to capture all of that a
second type of transcription is clean
called clean transcription so it moves
that power language so the statement
that i just made may transfer
transformed to something along the lines
of you know i attended a webinar and I
learned about well transcription i guess
it was ok so it's still the same meaning
but there is less of the nuance in there
in terms of how someone might someone
might speak to you it's not quite how
they speak in real life and the third is
just added we're at which wich allows
the person doing the transcription to
take some license and medical grammar
and just really streamline it so the
same statement that i said previously
might be shortened even further to
attend a webinar and learn about
transcription it was ok so you might
sound a little smarter because you're
just going through you know the exact
like that's a script of a Hollywood
movie but it might not be how people
actually speak now depending again on
the audience depending on your subject
matter depending what it is you're
looking for within that data it may make
sense for you to have an edited script
or edit transcription and they make
sense for you to have a full
transcription so really what you do is
up to you i will say that then i'll talk
about this in a minute but it does
impact time and cost depending on how
specific vs edited you need that
transcript to be there are different
options for transcribing obviously you
can always do it yourself their number
of software packages out their number of
petals that you can make foot pedals
that you can plug into your computer or
you could just hit pause on pause pause
unpause to type any transcript yourself
and you can have others do it having
graduate students is a popular way to do
it
people post their available that you can
reach out and and ask graduate students
or undergrads or just other people that
you may
no that would be interested and have
decent typing skills you'd like to
transcribe for you and the third way is
to hire professional service some
something like transcribing which I'll
talk about in more detail and
professional service and a number of
them out there you have a file an audio
file or video file and you send it to
them and then they provide you with a
written transcript of what you did and
you don't do any work per se but you pay
them to do the work for you now of
course there's a trade-off time is that
your professional service is probably
the fastest way to go but it's also
probably the most expensive if you do by
yourself is most likely the slowest way
to go you can you know a rough estimate
is for every hour of transcripts you can
probably anticipate about three hours of
transcribing and if you have that the
opportunity to do that yourself and you
don't have the funds to pay for a
service that might know that's just
another time consideration to work into
your overall schedule research you are
literally buying time it's sort of the
no-holds-barred we put that up
that said you know that you know the way
that they charge does vary this and it's
worth looking into transcription
services to understand how they charge
some charge for audio time which means
how long is the recording is it a
30-minute interview then we charge
x-amount 430 no permanent vs
transcription timing how long did it
take to transpire I'd in terms of going
to take an hour transcribe order to take
you five hours to transcribe and i'll
give you a $MONEY cost based on that
this is obviously impacted by things
like the noise audience noise in the
background on the number of speakers
it's just you dictating versus a
one-on-one interview with versus a focus
group where there might be a lot of
overlap of of talking that might be
harder to transcribes that could impact
costs and again you know the its service
you so if you do it yourself versus
having others do it for you
as a as a doctoral student and i'm sure
most of you out there have this concern
as well it'd be concerned of cost so i
wanted to just give you a few things
that I've considered along the way that
appears and I we have a whole list of
things that we look for and ask about
we're looking at transcription and so
these are some things that you can
consider if your want to go to the
transcription route but you have a very
limited budget so for example if you
know that you have are going to have a
large number of recordings you and you
don't have extreme time pressure you can
try to group them all together into a
bulk order sometimes they'll have pity
on you for being a student will have to
student discounts if you refer someone
else to their service so you continue
the business that might help sometimes
if you just like when you rent colors if
you pay upfront it's cheaper than if you
wait until after the service complete
and if you do have time so if you don't
need the transcript tomorrow if you can
wait two or three days or maybe five or
six days you know there are ways that
you know you can ask if they'll do a
discount for that and I do encourage you
to write to leave the company individual
and ask if there are any types of
discounts either along these lines or
anything that they might do to help you
out
um so for my purposes I'll i had hoped
the whole spreadsheet that's been sort
of passed around my doctor cohort of
services that are available and I i
talked to a number of people and then in
vivo launched the trim the partnership
with transcribing and I looked into it
and ultimately is this it is the way
that I went and I've gone through
probably over 40 interviews now using
transcribing and I've had a good
experience with it so i'm going to share
a little bit about that with you today
you know obviously I am I know the most
about transcribing because it is the
service i use I've used other services
at work and I you know I encourage you
to look around at the same time you know
transcribed me has worked well for me so
I wanted to just tell you a little bit
about it
the flexibility has been really useful
flexibility in terms of the file types
that they accept so it's not just mp3's
but AVI files and they hope it's a whole
host of you know both windows and mac
compatible files that they accept and
can use for transcription which saves
you a step of having to convert files
from one file format to another on the
quality has been very good so far as
i've gone through my transcripts I do
feel like it has reflected and when i
played audio on top of reviewing the
transcripts it has been very accurate in
terms of what i asked for the bake
entity you know it's just baked into the
system so there is a push-button request
system essentially and so that you send
the file through in vivo and then when
it's complete you open in vivo and it
just appears which feels like magic
sometimes and again save your number of
steps and then I also you know I i just
mentioned previously about having you
know asking for discounts i can say that
you know whether in vivo wants me to say
i'm not i have never paid full price for
for transcribing me and that is because
I have waited for every opportunity to
see when they are offering discount
clothes even if it was it you know a
10-percent discount and i would wait to
see if it's discount was available and
then I would you know put orders in
under that so when they first launched
with in vivo they had a more significant
discount just to try to get people to
test out the service I did I liked it
and then I continue to look for
discounts so if you are a cheap graduate
student like myself i do encourage you
to to you know have some patience and
try to is to seek that out if if
transcribing is an option even if it
wasn't at this point I'm fairly certain
that i would but i would use the service
so that is all the sort of my slide
portion and now i'm going to flip over
into my database itself
so can I just want to make sure can you
see my video database in the second
great so so when I open in vivo that
this this this is a reflection of its a
copy actually my actual dissertation
database and dr. database I've I've made
some changes but you can get a sense of
number of interviews in here this is a I
organized my in vivo folder you know in
my internals I just have a whole folder
called interviews and I have a number of
them here so for transcription purposes
i'm just gonna walk if you're a few
steps in terms of the the process of
getting audio into enviable and then the
transcription process itself and what it
looks like and how you can then work
with the the data one it's there or i
should say really work with the
information once it's their turn it into
data so when you're in in vivo the first
thing that you need to do to get a file
in is to actually import the audio or
the video from wherever you are so you
can see an external data there's a
button called audios and when you click
that you can import and you can import
from wherever it might be on your on
your computer so for me I just have a is
a folder going to tell the side that is
a whole number of interviews and I would
just choose one and i'll hit open and it
would pull right into in vivo actually
that the audios PDF documents videos
these are all really they all go to the
same window just gives you a number of
buttons for it and then within that you
could see it accepts a number of file
types and once you do that then the date
when the file is imported right into you
know your folder you open your
interviews do it and this is what it
this is where it is and so once you
import it it will look something like
this let's wait till it opens
so what you see then once it's imported
is just a simple waveform which if you
like you can actually make disappear you
have a clock here that shows you the
length of the interview you could play
it is applied to hear it at any point
I'm gonna put the way from the back just
because I'm accustomed to him but that's
it there's nothing down here it is just
the sound so you now have the capability
to listen to it take notes or otherwise
you can also edit and that is so if
you're going to self transcribe then you
would click Edit and now this appears
and you can click in there and you can
take whatever you like and now you know
you would listen to the interview and go
through and then you know with HD
speaker create a new box and on and on
and on
so one thing I do want to point out when
you're in this mode is if you look at
play mode this transcribe button becomes
active and what that does is actually if
i was to hit this transcribe then when I
hit play
you can see a timestamp appear and every
time I hit stop then it marks the end of
that time stamp so if you're going to
self transcribe this button in play mode
is your friend if you want to keep
timestamp record linked to the content
itself link to the script itself and the
speaker is just whoever you designate
you can name it whoever you want speaker
one speaker to you know John Joseph
whatever whatever you'd like
so I'm actually going to delete these
because i don't want to keep them
yes you do
ok so so again if you click to edit when
it's not an edit mode you see this is
not on when it is an edit mode
disappears so that is what it looks like
we just have an audio but you don't have
any script yet if I wanted to turn this
into a transcript what I could do is I
could take any audio file i go to my
external data tab and you can see here
there's a purchase transcript button and
what if i click this what happens is the
transcribe me window pops up and then I
can go and you know just login you have
to create an account once you create it
once always there and I would you know
authorize them to do it and then it asks
me just a few simple questions so this
is the file name I chose how many
speakers how quickly i want it and the
type of transcription and I need week
this is what I talked about before with
a full including power language clean a
little bit more edited and fully edited
which takes out you know does grammar
fixes and whatnot
if you have a promo code you put here
but I'll you know you can see that this
is the charge it goes more if I have if
I am a rush that less a single speaker
is less expensive but that's it so i
would at once i would once I have all
the files i wanted and you can certainly
do more than one per order just to hold
the control key or Apple can you select
the ones you want
I would just click submit order and then
it would go off into the ether and
transcribe me that it would take over
from there in a couple days or less
I just have experienced actually where I
submitted a couple of files for
transcription and they were turned
around within a day which is unusual but
was nice City
I usually do 2-3 days it goes off but to
transcribe me and then you get an email
that just as we got your order
you're all set and then when your order
is ready if you'll get is another email
that says your order if it's ready and
the next time you open in vivo it will
appear
it just it a pop-up says these files
have been completed and automatically
imported into your system so that's the
entire process you just have the audio
file you could purchase you get purchase
transcript and it would happen if you
were to use something other than
transcribed me you would you would send
it off to the service and then just have
to in import it separately so insert
then once you have the transcript it
looks like me grab one that has a
transcript Linda's should
close II actually shut these just for
simplicity
so this is what the transcript looks
like speaker one speaker to this is
myself or the other person and and then
it's literally just a script of the
conversation with timestamps to help me
just understand how far into this
conversation it is and so then
the things i wanted to show you here in
the play mode you have two options if
you notice the this is not highlighted
because i'm not in edit mode i certainly
could go into any transcript and edit my
own transcript will be there i'm not
going to for the purposes of this
conversation but i do have play mode or
I have synchronized mode play mode just
means when I hit play
I go through these conversations and it
just continues continues but nothing
else moves if I go in to synchronize
mode then wherever I am in this audio in
the audio portion is synchronized with
the transcript below so if I was to sit
back and watch and things move then you
can see my transcript moves with me so
I'm assuming you can't hear the audio on
that and I can hear it in in my end but
i don't believe you can but you know i'm
i'm hearing the participants speak for
myself speak back and i can see the
highlighted portion move along which is
just a it's a handy way to sort of view
any sort of interview of course once you
have your information within in vivo
then you can really start the work of
doing some of the coding act activity
for multiple sources just started in the
beginning semantic analysis it and you
can see you know
here i just have what some of the
clothes look like you can see the codes
appear in two separate places across the
audio just so I know we're in the
conversation topic was discussed and
then along the side as well so i can see
where the transcripts I'd be able to
find that specific information and it's
just highlighted by color
so if i want to code anything and I
would just open up my nodes and just a
side note i'm sure many of you have used
indeed already and you you have
alternate ways for doing your own coding
there are multiple ways one of the other
nice features of in vivo is that there
are multiple ways to view data and to
code data and to work with data really
just based upon your own looking style
so you know you can have everything in a
single window you can undock windows too
happy separate that's really up to you
i'm just going to show you the way that
I'm that I often look at data and and
then but but know that you can do it
from multiple ways so once i have my
content i can take any one thing and i
can simply just drag information into a
node and it gets put their so then I can
go further down
it's not about it and I can take it
again just highlight and drag it over so
that community pride so then you know
what I want to see how it all comes
together then I could
click on a node and I could see that I
have you know different files including
the conversation that we just had with
Linda so here's Linda and some of the
information that I have taken from her
transcript and put into community
mechanics so and with that that is that
that is really the general sense of how
transcription operates how it operates
within in vivo and some of the very
always stages of how you can use it to
support your own research or or program
the efforts and whatever you're doing
